The Executive Board of the DiGRA Central and Eastern Europe (CEE) chapter is seeking the hosting organization for the 2025 annual CEEGS conference.
Since its first installment in 2014, CEEGS has become one of the premier European game studies conferences. It aims to integrate the community of Central and Eastern European game scholars and professionals and serve as a platform for academic exchange and networking. Its goal is to establish a platform for game studies scholars from and beyond the region and facilitate the emergence of a unique perspective within the international arena of game studies.
The CEEGS conference guidelines are available here.
The hosting location should have good travel connections and be able to host 100 participants. The local organizer is responsible for the facilities and the execution of the conference, the conference website, and the conference budget. The organizer also has to secure sufficient funding (the Executive Board can offer assistance in seeking grants). Conference dates will be determined in cooperation with the hosts, but so far CEEGS has regularly taken place in autumn (late September or October).
Requirements for proposals to host CEEGS conferences
The proposal must include:
1) range of possible dates when the conference can be hosted;
2) a short description of the organizing institution(s) and their record in research and education, especially on games;
3) a report of the organizing institution’s past record of hosting conferences;
4) a description of the facilities in which the conference will be hosted (preferably with photographs);
5) a projected budget, including registration fees. If external funding will be sought, prepare a basic version of the budget excluding grants, and additional versions of the budget which take into account additional funding. Funding for the conference must come from registration fees, institutional funding of the organizer, and/or external grants. The organizing institution is expected to be the primary applicant for grants, but other associated institutions may assist or co-apply. Sponsorship by commercial companies is only allowed if no extra promotion of such companies is conducted at the conference except acknowledgment in the program brochure, on the posters (logo only), and in the introductory and/or final addresses of the conference. We allow no banners, leaflets, or product advertising.
6) a confirmation that the conference will comply with the CEEGS Conference Guidelines
The proposal may further include other additional material relevant to the conference, including:
· transportation, accommodation, and dining options;
· social events;
· keynote suggestions.
The proposal – or a letter of commitment referring to such a proposal – must be signed by the legal representative of the legal entity that will act as the organizer. In the case of most universities, this is either the faculty dean or the rector (or president) of the university.
The deadline for the applications is May 1, 2025. The proposal must be submitted by email to the DIGRA CEE Executive Board, specifically its secretary, Agata Waszkiewicz (agata.anna.waszkiewicz@gmail.com). Please contact Agata directly if you have any questions or want to discuss your hosting plans informally.
